Do I need an event planner or a coordinator?
Generally speaking, the planner makes critical decisions regarding what, when, who, and how. In other words a planner can assist in the whole process of the event including the research, legwork, decision making or really whatever the organiser needs from them throughout the planning process.
An event coordinator, on the other hand, is responsible for making sure all the details that have already been planned are executed correctly on the event day and that each vendor is on time, the schedule of the day is adhered to and also is the one that deals with any problems that arise. A Coordinator is also generally the point of contact for all of the vendors so that you are not being called by every catering company, bus driver and musician for directions and queries.
At WOVE our we offer both planning and coordination services together, however stand alone coordination services are great for those who wish to plan the event themselves and just want someone to execute the vision on the day.
Is Coordination services for the day only?
To be an effective coordinator, we at WOVE believe that a hand over can't be done on the day or the day before. To make sure we understand the plans and vision you have for your event, our coordination services cover a meeting one month before the event to check on planning and to help with anything that may be missed. We will then work more closely with you the fortnight before the event to take over the communication with vendors and helping with prep work that needs to be done including fine tuning run sheets and checklists. Finally, depending on your venue's requirements we will be available for set up the day prior and the day of the event to make sure that everything goes off without a hitch or at least without you noticing any!
What is the cost of planning and coordination?
As every event is different and every bride or event organiser wants to have different inputs into their event, at WOVE we quote for the amount of work involved in an event and tailor our quotes specifically to you.
We don't allow a certain number of hours to work on your event as we believe that the event planning process should change and grow with client and we always will work above and beyond to make sure your investment is maximising your budget and that we are providing value for your money, saving you the time and stress of the planning and execution.
When you are having an initial consult with WOVE we will generally like to just have a coffee or champagne and work out exactly what you are after with the process and show you how we can bring all of that and more to the table.
